VGV Services (“we,” “us”) is an electrical contractor based in Bowling Green, Missouri. This policy explains how we use information to respond to your requests, manage your project, operate this website and understand how people use it. We collect basic visit statistics for everyone, including visitors who reject optional cookies. We do not sell or rent your personal information.
What we collect
When you use our contact form or AI estimator, we collect the details you choose to provide — typically your name, email, phone number, the type of work you need, your message, and any photos you upload to the estimator. We may also ask for approximate home or building size and age, panel amperage, electrical equipment, affected rooms and quantities, symptoms and timing, and safe work-access needs. You can say “Not sure” or skip project questions. Please do not include entry codes or other sensitive information.
How we use it
We use the information you submit to respond to you, prepare estimates, arrange appointments and manage your project. Submitting a request lets us contact you by phone, text or email about that request. We also connect the observed same-day website visit that led to your inquiry, including its source, first page and pages viewed, with that inquiry, even if you reject optional cookies. If you allow the optional analytics cookie, we may also connect earlier permitted visits from the same browser. Submitting a form does not itself give permission for optional analytics cookies or advertising tracking.
Email outreach and preferences
If you have contacted VGV Services about work or have been our customer, we may email you requests for feedback or recommendations, seasonal service reminders, and information about discounted rates. We use our inquiry and job records to identify that relationship and honor your email preferences. We do not use purchased or scraped mailing lists.
Each marketing email includes an unsubscribe link. You can stop marketing emails without signing in or providing more information. We may still send messages needed to respond to your request or manage an existing project. You can also tell us your preference by replying or calling our business number.
Brevo sends our service and marketing emails. We use delivery and failure information to manage messages and honor email preferences. We do not add email-open or click tracking for this feature. We retain a minimal suppression record so an opt-out is not lost when other contact information is deleted.
Photos of our work
We publish selected job photos only with the customer's permission. Location data is removed from published copies. You can ask us to remove a photo at any time by contacting us.
Who we share it with
We do not sell or rent your information. We share it only with the service providers that help us run the site and reply to you:
- Brevo — sends our service and marketing emails. We use its available delivery, bounce and blocked-message reports to check whether messages are getting through and honor email preferences. We do not enable new email-open tracking for this reporting. Previously available open statistics are estimates and are not linked to website visits.
- Cloudflare — hosts and protects the website, stores website and business data, provides aggregate traffic reports, private estimator photo storage, and text-only AI processing for brief chat acknowledgements and internal estimate drafts for John to review, and, when John prepares an invoice, text-only suggestions for wording invoice lines from your project answers and the approved estimate scope. No contact details, photos or prices are sent for this.
- Google Calendar and Google Drive/Docs — help us arrange appointments and prepare project documents. Appointment reporting uses events already linked to a customer or lead; unrelated personal calendar events are not imported or displayed. Google Search Console supplies aggregate website search reports.
Your contact details are stored separately from AI prompts where practical. The estimator sends the latest project text plus a short summary of project answers already given to Cloudflare Workers AI for a brief acknowledgement when available; the summary excludes contact details, and separate contact fields are not sent. Project details you type, such as the job description, are sent to Google Gemini as written, after email addresses, phone numbers, street addresses and your name on file are removed; your separate contact fields, private notes, chat transcript and photos are not sent. Google's free tier may use submitted content to improve its products. Cloudflare Workers AI is used when Gemini is unavailable. John reviews every draft. After you submit, AI may prepare a text-only draft summary, questions and rough price band for John's private review. When John prepares an invoice, the same Gemini-first process, with Cloudflare Workers AI fallback, may suggest text-only wording for invoice lines from your project answers and the approved estimate scope. No contact details, photos or prices are sent for invoice wording suggestions. John checks and edits the scope, price and timeframe before choosing whether to email you an estimate; the AI draft is never sent automatically. We omit contact details and full addresses from draft prompts. Photos are resized to JPEG in your browser, stored privately for John, and never sent to an AI or vision model. Re-encoding removes embedded location metadata. If AI assistance is unavailable, you can continue with guided questions, review your saved details, and send your request to John.
Cookies and visit statistics
Necessary site functions remember your cookie choice for 180 days and, if you choose a theme, remember it on your device. Before chat starts, your browser keeps unsent estimator form entries, including the name, email, phone, town or ZIP, and project details you enter, on this device for up to 7 days so you can continue; that browser copy is cleared when a chat draft is saved, when you send your request, or when you start over. A necessary estimator session cookie protects your saved draft for up to 7 days. It is Secure, HttpOnly and SameSite, contains no answers, is not an analytics identifier, and works when optional cookies are rejected. It expires after 7 days; starting over clears the old draft cookie. After submission, it remains briefly so a network retry can return the same request reference. Cloudflare may use security cookies, and our abuse controls process network information to protect forms and the website.
Basic visit statistics are always on. They do not require an analytics cookie and continue when you reject optional cookies or send a Global Privacy Control signal. We record public pages viewed and their observed order, first and last observed pages, time of day, estimated time while a page is visible, referring website and non-personal campaign labels, general device, browser and operating-system categories, and approximate country, region and city supplied by Cloudflare. Location is a network estimate, not your precise location. We count actions such as scroll depth, tapping a phone link, tapping email or outside links, opening the estimator and submitting an inquiry.
To group one day's pages into a visit, our server combines your IP address and browser details with a daily value made from a secret we keep and the date, and stores only the resulting short code. We never store the raw IP address or full browser details in our analytics records. The code changes every day, and we do not use it to connect your visits on different days. Because the daily value comes from a secret we keep rather than being deleted, someone holding that secret and your IP address and browser details could recreate the code, so these records are pseudonymous rather than anonymous.
A visit ends after 30 minutes without observed activity, at midnight in our local time, or after 12 hours. Visit grouping, page order and time are approximate: shared networks and similar browsers can combine activity, changing networks can split a visit, and blocked scripts or missed messages can leave gaps. A page left visible may overstate attention. When you submit an inquiry, we attach the available same-day source, landing page and observed pages to it, with incomplete or uncertain matches marked as such. That linked record is associated with the information you provide. Shared-network grouping can sometimes include another person's activity; it is not proof of who viewed every page.
The optional analytics cookie adds recognition across days. If you allow it, we use a random first-party browser code for up to 30 days to estimate new and returning browsers and connect earlier permitted visits from that browser to an inquiry you submit. It does not recognize you across devices or other websites. Clearing cookies, expiry or turning this option off ends that recognition. We do not retroactively add earlier cookieless browsing to the cookie's history.
We also use aggregate traffic reports from Cloudflare, our hosting provider, for all cookie choices. These reports help us understand page use, referring websites, general devices and website performance. We do not connect Cloudflare's aggregate reports to a named inquiry. Cloudflare processes network information to deliver, protect and measure the site.
Our analytics does not store form answers, messages, photographs, contract contents, signing links, raw IP addresses or full browser user-agent strings. Apart from the daily IP-and-browser grouping described above, we do not use device fingerprinting. We do not use company lookups, session recordings, cross-site tracking, Google Analytics or advertising trackers. Separate form-security and electronic-signature records are described elsewhere in this policy.
Detailed visit records and the journey attached to an inquiry are removed after 90 days. Optional browser-recognition records last up to 30 days and end earlier when the option is turned off. Aggregate reports, page-request totals and cookie-choice records without visitor identifiers are kept for 25 months. Inquiry and project records have the separate retention periods described below. Short-lived recovery copies may remain for up to 30 additional days and are not used for analytics; deletion controls apply when data is restored.
You can change the optional-cookie choice at any time using Cookie settings. Rejecting optional cookies stops future cross-day recognition and removes or expires the optional browser code; it does not stop basic same-day visit statistics or same-day inquiry linkage. Global Privacy Control keeps the optional cookie off unless you explicitly enable this first-party option in settings. You can contact us to request deletion of visit information linked to your inquiry.
Google Search Console supplies aggregate search terms and search-result performance for our pages. It does not tell us which search term a particular customer used.
We use Cloudflare Turnstile on the estimator and contact form to block automated abuse; it processes browser and device signals and is not used for ad tracking.
Contract electronic signatures
If you review or respond to a contract signing link, we record your response, typed name, email address, IP address, browser or user agent, time, and a fingerprint of the exact document. These records help us prove which contract was presented and how you responded. A signature certificate is included as a separate attachment with the signed copy. Signing events in the website inbox are removed after 30 days; the business record and certificate are kept as needed for your project and normal recordkeeping.
Data retention
Estimator drafts are available for up to 7 days if abandoned; scheduled cleanup then removes them and their private temporary photos. Submitted requests and private temporary photos are kept in the website inbox for up to 30 days after successful transfer to our private business records. Contact and estimator requests are kept in a short-lived website inbox for up to 30 days after transfer to our private business records. We keep the business copy, photos and documents as needed for your project and normal recordkeeping. You can ask us to delete information where we can.
Your choices
Use the unsubscribe link in any marketing email to stop marketing emails immediately, without signing in or verifying your identity. To access, correct, or delete other information you’ve shared with us, call 636-324-3474 or reply to an email from us. We may ask for enough information to locate your inquiry and confirm it belongs to you for those requests. Aggregate totals do not tell us your name.
